Data Privacy Policy for

American Women's Club in Finland (AWC Finland)

This policy explains the type of personal information that we collect, how we use this information, and your rights with regard to this information.  We care very much about your privacy, and we are committed to compliance with the EU General Data Protection Regulation (GDPR).

What personal data do we collect?

When you are joining our club, using our website or online membership directory, signing up for club activities, completing a survey or providing feedback to us, or otherwise communicating with our club, you may be asked to voluntarily provide some personal data such as:  

• Your name and contact details (email address, home address, and telephone number).

• Your spouse/ partner’s name
• Your citizenship, place of birth or basis for becoming a member of the AWC Finland, and
• Your interests and other information that you wish to share about yourself.

How will we use your data?

We collect this data so that we can:

• Process and manage your membership.
  
• Communicate with you regarding club events and activities.
  
• Send you the AWC Finland newsletter, or otherwise provide information to you about dues renewals, club elections and other issues relating to the governance of the club, AWC Finland charity efforts, updates and events of related organizations such as FAWCO (Federation of American Women’s Clubs Overseas), and other topics of interest to the AWC Finland membership.
  
• Maintain a membership directory.
  
• Manage activity groups and membership-related activities.
  
• Develop the club, realize the club’s mission, promote club activities and events, and find ways to better serve and support the AWC Finland members and community.
  

How do we store your data?

We store and process your data on servers located in the European Economic Area which are hosted and maintained by third party service providers. We retain your data for as long as you are a member. We will delete your data from our electronic membership record when your membership expires, or you request such deletion.  Membership directories remain in our archives. 

What are your data protection rights?

Your data protection rights:

The right to access – You have the right to request copies of your personal data.

The right to rectification – You have the right to request that we correct any information you believe is inaccurate. You also have the right to request that we complete the information you believe is incomplete.

The right to erasure – You have the right to request that we erase your personal data, under certain conditions.

The right to restrict processing – You have the right to request that we restrict the processing of your personal data, under certain conditions.

The right to object to processing – You have the right to object to our processing of your personal data, under certain conditions.

The right to data portability – You have the right to request that we transfer the data that we have collected to another organization, or directly to you, under certain conditions.

We do not use “cookies” or similar technologies to gather information about you.

We will not disclose your personal data to any third parties, unless we have your consent, or it is reasonably necessary to provide the expected membership benefits, or we are required by law to do so. 

Note that we use a number of third party services. Such third party services may collect personal data from you in accordance with their own privacy policies.  You will be alerted to such third party services and we ask that you please review their privacy policies before you start using such services so that you can make an informed decision about whether you can accept their processing of your personal data.
